Connecting Every Stakeholder: How Principle Perspective Engineering Streamlined Multi-Party Collaboration on a Complex Industrial Project with Gsite

Principle Perspective Engineering (“PPE”) is a Malaysian EPCM and EPC G7 Main Contractor delivering complex industrial projects across manufacturing, semiconductor, logistics warehousing, life sciences and, most recently, data centres. Long accustomed to running its projects on digital tools, PPE brought in Gsite in early 2025 as part of its operation to take project delivery a step further, uniting multi-party collaboration on one connected, easy-to-use platform. Progressing from strengthened internal control to rigorous site management and, ultimately, seamless multi-party collaboration, PPE has set a new benchmark for industrial project delivery.

The Context: Coordinating a Complex Industrial Delivery

Delivering an industrial facility is not simply a matter of scale. It requires the precise coordination of demanding construction phases — from rigorous piling inspections in the early stages to intricate steel-structure erection and complex MEP coordination.

PPE’s project — a food processing plant — raised the stakes further. A food facility carries demands of its own: rigorous quality control, strict hygiene compliance and precise execution from start to finish, all under a tight programme. With the owner, consultants, main contractor and subcontractors working in parallel, keeping information flowing clearly and promptly was not just helpful — it was critical to protecting both quality and the schedule.

Even with established processes and digital tools already in place, PPE saw an opportunity to tighten that flow. Critical external approvals were spread across email exchanges, and site records sat across separate systems — creating hidden friction in retrieval, communication, follow-up and approval, and making a consistent, traceable flow of project information harder to maintain than it needed to be.

Choosing the Right Platform, De-risked

PPE was protective of an aggressive delivery timeline and stringent quality requirements and would not let any new platform introduce delays — so the team required proof before committing. A tailored demonstration by the Gsite team, followed by a rapid on-site trial, showed field teams that the platform was intuitive and practical, while giving management greater visibility into day-to-day site operations. Positive feedback from PPE’s own engineers reinforced their confidence. With the benefits demonstrated directly on site — and without compromising project continuity — PPE moved forward with Gsite as the platform that best solved its core challenge — fragmented project information across many parties — by unifying drawings, records and approvals into one connected source of truth. What began as a trial became the foundation for a more connected, structured and sustainable approach to project delivery.

The Solution: A Step-by-Step Journey

Phase 1 — Establishing a Single Source of Truth (Week 1)

Following deployment in early 2025, PPE’s site team spent just one week getting the platform up and running. By migrating to Gsite’s Drawing and Album modules, PPE ensured every engineer and site manager had instant mobile access to the latest revisions and visual records — eliminating the risk of working from outdated plans and creating a robust visual foundation for the complex structural work that followed. To date, PPE has centrally stored hundreds of progress photos and nearly 500 drawings through Gsite.

“Gsite unified everything into one place, and our teams adopted it almost immediately. The platform required minimal training — everything is online within one application, making it highly accessible for everyone on site.”

Phase 2 — Standardising Field Operations & Quality Control (Weeks 2–3)

By the second week, PPE standardised field operations, digitising the Site Diary and Inspections so critical information could be captured directly from the field rather than reconstructed later from handwritten notes. Since mid-July 2025 the team has generated over 300 digital site diaries, and the time to complete each comprehensive record fell from 40 minutes to under 10 minutes — a 75% improvement in reporting efficiency. Crucially, the 150+ hours saved on administrative paperwork were redirected into active site supervision and quality control — a vital reallocation that helped maintain the rigorous standards industrial builds demand.

Phase 3 — Unifying Multi-Party Collaboration (Week 4 Onwards)

As a main contractor, PPE coordinates a complex ecosystem of stakeholders — and reviews that stall can be costly. To break data silos and eliminate fragmented email chains, PPE brought its external consultants directly into Gsite’s connected workflow. RFIs and submittals are now reviewed, commented on and approved entirely online, in real time:

•     Real-time reviews & simplified closeout — drafting a RFI now takes about 5 minutes; creating a submittal, no more than 10 minutes.

•     Accelerated decision-making — average RFI approval fell from over 7 working days to just 5 days in average, keeping the critical path moving without stalling the supply chain.

•     Complete audit trail — all submissions, supporting documents and approval records are centrally stored, giving PPE a fully traceable project history for compliance and handover.

“Gsite makes it far more convenient for consultants and clients to review and approve submissions online. Instead of waiting through traditional channels, they respond directly on the platform — giving us a clear, irrefutable record of every submission and approval.”

— Site Engineer, PPE

The Business Impact: Proven ROI and On-Time Delivery

Internal efficiency & data security — digital records kept commercial documentation secure in a single environment and heavily reduced manual reporting hours:

l  Centralised drawing management with nearly 500 drawings are accessible to all.

l  Secure progress photo storage with hundreds of pictures archived online.

l  Digital site diary adoption, saving 150+ hours across over 300 records.

Multi-party collaboration — by removing the traditional “waiting game” between contractor, client and consultants, Gsite protected the project’s critical path:

l     The project team worked seamlessly with the client, consultants and subcontractors, successfully closing hundreds of RFIS and Submittals online.

l     Digital RFIs improved processing efficiency by nearly 30%, reducing the average approval cycle from more than seven working days to five days.

l     Standardised digital Submittals reduced the time required to complete each form to an average of just 10 minutes, while maintaining a one-week closure cycle.

On-time delivery & contract renewal — meticulous daily tracking and rapid approval turnarounds kept the food processing plant strictly on programme for its handover.

PPE’s experience shows that when a contractor already committed to value chooses the right platform and adopts it as a structured, step-by-step journey, the results compound into a long-term delivery advantage. A partnership that began with a trial has become a cornerstone of PPE’s digital project-delivery strategy — culminating in contract renewal in July 2026.

“For the project, Gsite has been a good central point for project management, documentation and communication — and an even greater benefit to the project team.”

— Project Manager, PPE
